- What: Access and manage your agency's billing profile, credits, usage, invoices, plans, and referrals through the eCourtDate Billing Portal
- Why: Staying on top of billing ensures uninterrupted service, accurate credit tracking, and proper vendor documentation for your agency's procurement process
- Who: Authorized billing contacts with an active eCourtDate user account

Prerequisites
- You must have an active eCourtDate user account
- You must be an authorized billing contact for your agency
- If you are not a billing contact, request one of your agency's existing billing contacts to add you
- Your Billing Portal login credentials are the same as your eCourtDate user account
How-To Steps
Step 1: Check Your Billing Profile
- Log in to your eCourtDate agency.

- Scroll to the bottom of the page and click the Agency Setup link.

- Click the Billing tab to view your billing profile.

The following information is displayed:
- Customer Profile
- Billing Status
- Authorized Billing Contacts

Step 2: Log In to the Billing Portal
- Navigate to the Billing Portal.
- Enter the same login credentials you use for your eCourtDate user account.
- After logging in, you will see the Dashboard with your message credits balance in the top left corner.

The balance shown is the total number of credits activated for your agency minus the credits that have been used.
Step 3: Manage Billing Contacts
- Click Contacts in the Billing Portal top navigation bar.

- Review the current contacts associated with your customer profile.
- To add a new contact, fill in the Create Contact form and click the Create button.


- To edit an existing contact, click the contact name in the list, make your changes, and click Save.

- To remove a contact, click the Delete button.

Step 4: Check Your Credits
- Click Credits in the Billing Portal top navigation bar.
- Review your credit types:
- Purchased Credits: Credits linked to an invoice. The activation date is the date the invoice was paid.
- Referral Credits: Credits earned for referring other agencies to eCourtDate.
- Bonus Credits: Credits granted by eCourtDate for various reasons.

Step 5: Check Your Usage
- From the Billing Portal dashboard, click the Usage Reports button.
- Review historical usage on a monthly or yearly basis. The report displays total usage across all your agencies as well as per-agency breakdowns.

Step 6: Pay Your Invoice
eCourtDate accepts ACH, check, and credit card payments.
- ACH payment: Check the end of your invoice for bank details. Include the invoice number in the ACH details.
- Online payment: Click the Pay Online button in the invoice email. You will be redirected to pay with a credit card or ACH.
- Check payment: Mail a check to the address listed on your invoice. Checks should be made payable to eCourtDate, Inc.
Step 7: Manage Your Plan
- Click Plans in the Billing Portal top navigation bar.
- Review your current plan and any included products.

- Select an option to upgrade, downgrade, or cancel your plan as needed.


Step 8: Track Referrals
- Click the Referrals link in the Billing Portal top navigation bar.
- Review the number of referrals you have made and the credits you have earned.

Step 9: Get eCourtDate Vendor Information
- Scroll to the bottom of the Billing Portal dashboard and click the Billing Information link.
- Access the following vendor documents and details:
- Entity Info
- Mailing Address
- Employer Identification Number (EIN)
- DUNS Number
- Tax Classification
- NAICS Code
- (PDF) Most Recent W-9
- (PDF) Insurance Certificate
- (PDF) Certificate of Incorporation
- (PDF) Certificate of Good Standing

What to Expect
After logging in to the Billing Portal, you have full access to your billing profile, credits, usage reports, invoices, plans, and referral information. Changes to billing contacts and plan selections take effect immediately. Credit balances update as invoices are paid and messages are sent.

Troubleshooting
Issue: Cannot log in to the Billing Portal.
Symptoms: You receive an error message or are unable to access the Billing Portal at billing.ecourtdate.com.
Solution:
- Verify you are using the same email and password as your eCourtDate user account.
- Reset your password using the Can't login to your account? link on the eCourtDate login page.
- Confirm with your agency that you are listed as an authorized billing contact.
Issue: Credit balance does not match expectations.
Symptoms: The credit balance shown on the dashboard seems incorrect.
