Filtering clients by assigned user helps you quickly locate and manage the specific clients each team member is responsible for, improving your workflow efficiency and team collaboration.

Overview

The client filter feature in eCourtDate allows you to narrow the client list to show only clients assigned to one or more specific staff members. This is especially useful for supervisors reviewing caseloads, for team leads checking assignment distribution, or for individual staff members focusing on their own assigned clients. The filter works alongside other search criteria such as client type, status, and group.

Prerequisites

  • An active eCourtDate user account
  • Clients assigned to at least one user in your agency
  • Access to the Clients section in the top navigation

How-To Steps

Filter Clients by Assigned User

  1. Click Clients in the top navigation.

Clients in the top navigation bar

  2. Select the desired user (or users) from the Assigned User filter dropdown.
  3. Click the Search Clients button.

Reset the Filter

  1. Locate the filter options on the Search Clients form.
  2. Click the Reset button to clear all applied filters.
  3. The full client list will display again without any user-based filtering.

What to Expect

After applying the filter, the client list refreshes to display only clients assigned to the selected user or users. You can review, edit, and manage those clients directly from the filtered view. The filter remains active until you reset it or navigate away from the page.

Best Practices

  • Combine the assigned user filter with other criteria (such as client status or group) to narrow results further.
  • Use this filter regularly to audit caseload distribution across your team and identify imbalances.
  • Supervisors should periodically review filtered views for each team member to ensure clients are receiving timely follow-up.
  • Reset filters before running reports or exports to ensure you are working with the full dataset unless a filtered view is intended.

Frequently Asked Questions

Q: Can I apply multiple filters simultaneously? A: Yes. You can filter by assigned user along with other criteria such as client type, status, or group. All selected filters work together to narrow the results.

Q: How do I remove the applied filter? A: Click the Reset button on the Search Clients form. This clears all filters and displays the full client list.

Q: Will other users be able to see my filtered view? A: No. Filter settings are specific to your session and do not affect what other users see. Each team member can apply their own filters independently.

Q: Can I filter by multiple users at once? A: Yes. The Assigned User dropdown allows you to select multiple users. The results will include clients assigned to any of the selected users.

Troubleshooting

Issue: No clients appear after applying the filter. Symptoms: The client list is empty after selecting a user from the filter dropdown and clicking Search Clients. Solution: Verify that the selected user actually has clients assigned to them. Check the user's profile or use Bulk Actions to confirm client assignments. If clients should be assigned but are not showing, the assignment may need to be created first.

Issue: Filter does not seem to narrow results. Symptoms: The client list appears unchanged after selecting a user and searching. Solution: Confirm you clicked the Search Clients button after selecting the user. Also check that you are not also applying a conflicting filter (such as a status that none of the assigned clients have).
