Assigning users via Bulk Actions allows you to efficiently assign staff members to multiple clients at once, streamlining case management and saving time.
Overview
- What: Use the Bulk Actions feature to assign one or more users to a filtered set of clients in a single operation
- Why: Manually assigning users to individual clients is time-consuming. Bulk Actions automates this process so you can assign caseloads in seconds
- Who: Administrators and users with Bulk Actions and user management permissions
- Expected outcomes: Selected users are assigned to all clients matching your search criteria, with optional notifications sent to the assigned users
Prerequisites
- You must have an active eCourtDate account with permissions to use Bulk Actions
- You need user management rights to assign users to clients
- The users you want to assign must already exist in your agency (see How to Manage Users)
- You should know the search criteria to filter the clients you want to assign (event date, location, flow, etc.)
How-To Steps
Step 1: Navigate to Bulk Actions
- Click Bulk Actions from the top navigation bar.

Step 2: Create a New Assign Users Action
- Select Assign Users from the Action Type dropdown in the left column.
- Click the Add button to create the bulk action.

Step 3: Configure and Run the Assignment
- Select the user you want to assign in the Assign To field.

- Configure the following options as needed:
- Unassign Current Users: Check this to remove existing user assignments from the selected clients before applying the new assignment.
- Notify Assign To: Check this to send a notification to the assigned user about their new assignments.
- Use the search form on the left to filter the clients you want to assign. You can search by event date, location, assigned user, flow, and other parameters.
- Click the Search button to preview the matching clients.
- Review the results in the right column to confirm the correct clients are selected.
- Click the Live Run button to execute the assignment.
What to Expect
After running the bulk action, you should expect the following:
- The selected user is assigned to all clients matching your search criteria.
- You receive a confirmation email once the bulk action is complete.
- The assignment changes are reflected immediately on each client's record.
Best Practices
- Always use the Search button to preview matching clients before clicking Live Run to confirm you are targeting the correct group.
- Use the Unassign Current Users option carefully. It removes all existing assignments from the matched clients before applying the new one.
- Filter by specific criteria (event date, location, flow) to create precise assignments rather than broad ones.
- Enable the Notify Assign To option so assigned users are immediately aware of their new caseload.
- Run bulk assignments during off-peak hours for large client sets to minimize any processing delays.
Frequently Asked Questions
Q: Can I unassign users or change assignments made through Bulk Actions?
A: Yes. You can modify user assignments at any time. Use the Bulk Actions feature with the Assign Users action type to reassign, or check Unassign Current Users to remove existing assignments.
Q: What happens if I check "Unassign Current Users"?
A: All currently assigned users are removed from the matching clients before the new user is assigned. Use this option when you want to replace existing assignments entirely.
Q: Can I assign multiple users to the same set of clients?
A: Yes. Run separate bulk actions for each user you want to assign, and leave Unassign Current Users unchecked so previous assignments are preserved.
Q: How do I know when the bulk action is complete?
A: You receive a confirmation email once the bulk action finishes processing. You can also check the Bulk Actions page to see the status of your action.
Q: Is there a limit to how many clients I can assign in one bulk action?
A: There is no strict limit, but very large assignments may take longer to process. You will receive a confirmation email when the action is complete.
Troubleshooting
Issue: Bulk action does not assign the user to any clients.
Symptoms: After clicking Live Run, no clients show updated assignments.
Solution:
- Verify your search criteria returned matching clients by clicking the Search button first.
- Confirm the user you selected in the Assign To field is an active user in your agency.
- Check that you have the required permissions to perform bulk actions and manage user assignments.
Issue: The wrong clients were assigned.
Symptoms: Users are assigned to clients outside the intended group.
Solution:
- Review the search filters you used before running the action.
- Use more specific filters (event date, location, flow) to narrow down the target client set.
- Run a new bulk action with the correct filters and check Unassign Current Users to fix the assignments.
Issue: Confirmation email not received.
Symptoms: The bulk action appears to have run, but you did not receive a confirmation email.
Solution:
- Check your spam or junk folder.
- Verify the email address on your eCourtDate user profile is correct.
