Track and manage bookings created through your availability templates. Review appointment details, dates, times, and locations all in one sortable, searchable list.

Overview

The Bookings page gives your agency a centralized view of every appointment that clients have scheduled through your availability templates. Instead of searching through individual events, you can see all bookings in a single list with key details like date, time, location, and description. You can sort by any column, search by keyword, and export the list for offline reference or reporting. This feature is essential for court clerks tracking hearing appointments, probation officers reviewing check-in schedules, and administrative staff managing orientation or consultation bookings. The Bookings page works hand-in-hand with availability templates, giving you full visibility into how your scheduling links are being used.

Prerequisites

Before managing bookings, make sure you have:

  • An active eCourtDate account with Admin or scheduling permissions
  • At least one Availability Template created and shared (see How to Create Availability Templates)
  • Clients who have booked appointments through your availability links
  • Access to the Events section of the top navigation bar

How-To Steps

Step 1: Navigate to the Bookings Page

  1. Click on Events in the top navigation bar.

What to Expect

After navigating to the Bookings page, you will see a complete list of every appointment that clients have scheduled through your availability templates. The table updates in real time as new bookings are created. Exported files reflect the current view, including any search filters or sort order you have applied. Changes you make to individual bookings (rescheduling, canceling, updating details) are reflected immediately in the table and in any related notifications or calendar subscriptions.

Best Practices

  • Check bookings daily. Review the Bookings page each morning to prepare for upcoming appointments and catch any last-minute cancellations or changes.
  • Export weekly reports. Use the CSV export to create weekly booking summaries for supervisors, judges, or administrative staff who need visibility into scheduling activity.
  • Use search to audit specific periods. Search by date range or location to quickly pull up bookings for a specific week, courtroom, or office for compliance reporting.
  • Follow up on pending bookings. If bookings remain in a pending status, reach out to the client to confirm or reschedule to avoid no-shows.
  • Keep availability templates current. If your schedule changes, update your availability templates promptly so the Bookings page reflects accurate information going forward.

Frequently Asked Questions

Q: Can I see who booked each appointment? A: Yes. Each booking is linked to the client who scheduled it. Click the Edit button on any booking to see the assigned client details on the event page.

Q: What happens when a client cancels a booking? A: If cancellations are allowed in the availability template settings, the client can cancel through the booking link. The booking status updates to canceled, and the time slot becomes available for other clients again. You will see the canceled status reflected in the Bookings table.

Q: Can I export bookings for a specific date range? A: Yes. Use the search and date filter options to narrow the list to your desired date range, then click Export. The export file will include only the bookings currently displayed in the filtered view.

Troubleshooting

Issue: A booking does not appear in the Bookings table. Symptoms: A client confirms they completed a booking, but the appointment is not listed on the Bookings page. Solution:

  1. Verify the client completed all steps of the booking process, including selecting a time slot and confirming.
  2. Check the Events page to see if the event was created but is not categorized as a booking.
  3. Confirm the availability template is active and properly configured.
  4. Ask the client to try booking again. If the slot was already taken, they may have received an error and not completed the booking.

Issue: The export file is missing bookings. Symptoms: The downloaded PDF or CSV does not include all expected appointments. Solution:

  1. Clear any active search filters before exporting to ensure all bookings are included.
  2. Check that the sort and filter settings are not limiting the visible results.
  3. Verify the bookings exist in the table before clicking Export.
  4. If the issue persists, sign in to eCourtDate and create a ticket by clicking the ticket button in the bottom right corner of the screen.
